1. What Data We Collect
We collect the following categories of personal data when you use Renters Black Box:
- Name, email address, and phone number
- Rental property addresses and lease dates
- Inspection photos and room condition reports
- GPS coordinates captured at the time of photo inspection
- Device type and browser information
- IP address at time of account actions
- Electronic signature data (timestamp, IP, device)
- Payment information (processed by Stripe — we do not store card numbers)
2. How We Use It
- To operate the platform and provide landlord/tenant features
- To generate legally compliant inspection reports and deposit statements
- To send notifications and email communications via Resend
- To comply with applicable law, including CA AB 2801 and state-specific rental regulations
- To detect and prevent fraud or misuse
3. How Long We Keep It
- Active account data: retained while your account is active and for 30 days after a deletion request is processed
- Inspection records and photos: retained for 4 years from the move-out date per CA AB 2801
- Deposit statements and signed documents: retained for the same period as the report they belong to
- Support messages: retained for 2 years
4. Your Rights
Depending on your state of residence, you may have the right to:
- Access and download all personal data we hold about you
- Request deletion of your account and associated data
- Opt out of data sharing for non-operational purposes
- Correct inaccurate information in your profile

5. Who We Share With
- Resend — for transactional email delivery
- Supabase — for secure data storage and authentication
- Stripe — for payment processing
- We do not sell your data to third parties
- We do not use your data for advertising
- We do not share your data with data brokers
